Sharing intervention plans with families. New feature for 2025!

Keep parent(s) or guardian(s) informed about their child’s intervention plan by generating a secure, sharable link directly from a student's profile.

Caution: Sharing the intervention may provide families with access to all details of the intervention setup and implementation. For that reason, we recommend making sure that what you have entered is appropriate to share with families and always review it prior to sharing the link.

  • Be aware of and cautious about the information entered into the student's intervention plan notes with the knowledge that it may be viewed by the family.
  • Work with the district's Intervention Library Editor to ensure quality instructions/information have been entered about the intervention strategies in the library, as strategy details will be visible.
  • Ensure that there is no personal student information in the intervention goal, strategy (from library or custom), or notes that may identify students in an intervention plan group to ensure compliance with FERPA.
  • Make sure that both the intervention and progress monitoring setup are correct and the data are displaying as expected, including the progress monitoring graph.

How to Share an Intervention Plan

If you have access to a student’s intervention plan, you can share the plan with the student’s parent/guardian(s) directly from the student’s profile in Panorama Student Success. For group interventions, this process must be repeated for each individual student in the group from that student’s profile. The process generates a secure link to send from your own email or via an email directly from the Panorama system. Families can access the shared secure, unique link for 45 days by confirming the student’s date of birth. The intervention and monitoring data available via the link is real-time, it is not a static report. Any changes to the intervention or additional notes and data added will be visible any time they access the link. Follow the below steps to learn how to generate a link:

First, navigate to the student’s individual profile. You can do this by clicking on a student name, searching for a student using Find Student or clicking Intervention Plans from the Students page to see the list of intervention plans you have access to (Figure 1.).

Once on the student's profile, scroll down to the intervention plans. Click More actions on the intervention plan you wish to share. Note: the list of actions available in the More actions menu depends on your user role and may not match the visual exactly.

Select Generate family link or Share via email to family in the More actions drop down (Figure 2.).

Generating family link

Selecting Generate family link will provide you with a preview of the intervention plan you will share (Figure 3.1).
This will include the student's name, intervention and/or monitoring notes, pre-intervention reflection, and plan details (Figure 3.2).
IMPORTANT: Review the preview to make sure it displays what you expect. In particular, if this is based on a group intervention plan, make sure information for other students is not visible in the notes or other content to avoid FERPA violations.

When you are ready, click Generate link. A secure family access link will appear (Figure 4).

(Figure 4  - preview from national Student Success platform and may not match Iowa implementation exactly.)

Here you will have the option to Copy link or Deactivate (Figure 5.).
Clicking Copy link will copy the secure link to your clipboard. From here, you can share the link with parents by pasting it into your own school email.
Clicking Deactivate will ensure the link is no longer accessible.

NOTE: Underneath the link, you will notice there is an expiration date. The link will automatically expire 45 days after the link has been generated. You can deactivate this link at any time using the steps above and clicking Deactivate. Additionally, this is a dynamic link meaning any updates made to the notes and monitoring data will be automatically updated and can be viewed by the family member who has access to the link.

Selecting Share via email to family will provide you with a drafted copy of an email to share the intervention plan with the student's family directly from the Student Success platform (Figure 6) using a Panorama email address.

(Figure 6 - preview from national Student Success platform and may not match Iowa implementation exactly.)

You can manually type out email addresses of the student’s parent/guardians to send the plan to in the Email recipients box. (Figure 7.).
Be sure to enter only the parent/guardian(s) of the individual student you accessed to generate the link, even if the learner is in a group intervention. There is no option to securely send a group intervention to all parents of students in a group at once. It must be repeated for each student and generated from their own individual profile page.
The message content will provide you with a simple draft of the email. You can edit and make any necessary changes to the message. Click Share with family when you are ready to email the send the intervention plan (Figure 7.1).

Please note: once the intervention plan has been sent via email, a support note will be automatically logged on the student’s profile to document that the intervention plan was shared with the student’s family/guardian.

What families will see:

If the intervention plan was sent directly to the student’s families/guardians via email from Student Success, the email will include the note the educator wrote along with a secure link to the plan and a notice of when the link expires (Figure 8.)

(Figure 8 - preview from national Student Success platform and may not match Iowa implementation exactly.)

To access the intervention plan, the student's guardian(s) must first input the student's date-of-birth (Figure 9.). If they input the date-of-birth incorrectly 5 times, the link will become deactivated. To receive a new link, the educator must generate a new one.
