10.4.2024 - Reminder: October 9th is EdPortal cleanup for FastBridge and Panorama

Action required:

District student information system managers need to remove obsolete FAST and Panorama roles and assignments from their student information systems by October 9th. Read below for details. 

When: 

User cleanup is scheduled to occur October 9th in the Iowa Education Portal (Ed Portal). The FastBridge and Panorama part of the process will likely be in the week or two following the Ed Portal cleanup.

What will happen: 

  1. All FastBridge and Panorama Student Success roles and assignments will be deleted from Ed Portal after business hours on Wednesday, October 9th. 
  2. The regular nightly process will reconnect user roles to Ed Portal accounts based on the user roles that are actively assigned in the district’s student information system (SIS) and matching email addresses. 
  3. Users whose role successfully connects to their account will receive an email from noreply@iowa.gov indicating they have role(s) assigned/access granted.
  4. Following Ed Portal’s cleanup, both FastBridge and Panorama will conduct a similar process to remove all of the user permissions in their systems, allowing them to reload as users log back in via the Iowa Ed Portal. 

Why: 

Ed Portal, FastBridge and Panorama do not currently process deleted or ended user role assignments. Instead, we periodically remove and reload all user permissions to get rid of ones that no longer exist. This prevents inappropriate access to data.

Your action needed by October 9th:

We need your help to get the word out to all staff and to prepare.

  • Talk with your SIS manager about removing obsolete or unwanted FastBridge or Panorama Student Success user roles assigned in your SIS prior to October 9th.
    • Limit district managers to 1-3 people with the right knowledge/skill. Users with this role can break the system if they don't have proper training.
    • No need to stack roles - higher roles include lesser roles automatically
    • Remove buildings and roles for users that are no longer appropriate
    • If a refresher on the role assignments in the SIS is needed, details can be found here.
  • Ensure any staff who have had a name or email domain change in the last year have updated their email address in Ed Portal using these instructions.
  • Communicate to staff that they may receive an automatic email October 10th about having roles assigned and that there is no need to be concerned by this message.

Troubleshooting:

If a staff person loses access during this cleanup, start by checking the following:

  • Does the person’s email in the portal match their email in your SIS?
  • Does the person have a valid role assigned in the SIS?
